Who is responsible for your data

Ringminder is published by Jeremy Hoffmann, a sole proprietorship (entreprise individuelle) established in Luxembourg. For any question about your personal data, you can reach us at [email protected].

Data we process

• Account information: your name and email address, as provided by your sign-in provider (Google, Microsoft, or Apple) — Ringminder never asks for a separate password.
• Phone number: the number you verify by SMS through Twilio Verify, used only to call you.
• Calendar data: the titles, times, and reminders of the events your calendar provider syncs with Ringminder, limited to what is needed to schedule calls.
• Service history: past calls, their status, and your reminder preferences (lead time, voice, message).
• Subscription data: your Free or Pro plan status and billing information managed by Stripe (Ringminder never stores payment card data).

Why we process this data

• Trigger the reminder call at the chosen time, in your account’s language and voice.
• Verify your phone number and prevent abuse of the calling service.
• Manage your subscription and the associated call quota.
• Keep the service secure and detect fraudulent use.

Legal basis

Processing relies on the performance of our contract with you (providing the reminder service), on your consent when you connect a third-party calendar account, and on our legitimate interest in keeping the service secure. We never use your data for advertising.

Who receives your data

We share certain data only with the providers strictly necessary to run the service:

• Twilio (United States): sending the verification SMS and placing the voice calls.
• Stripe (United States): processing Pro subscription payments.
• Google, Microsoft, or Apple: only the calendar provider you choose to connect, to sync your events.
• Our hosting provider, to run the service.

Some of these providers are located outside the European Union. These transfers are governed by the European Commission’s standard contractual clauses or an equivalent adequacy mechanism. We never sell your data.

Retention period

• Call and reminder history: kept for 3 months, then automatically deleted.
• Account data (synced calendar, preferences, verified number): kept for as long as your account is active.
• Upon request, we delete your entire account and associated data.

Cookies and trackers

Ringminder uses no tracking or advertising cookies. Your sign-in token is kept only in your browser’s local storage (localStorage), on your own device, to keep you signed in — it is never set as a cookie or shared with a third party.

Security

Your calendar connection credentials are encrypted (Fernet) before storage. All communication with Ringminder is encrypted over HTTPS. Ringminder never stores a password: sign-in happens exclusively through your calendar provider.

Your rights

Under the GDPR, you have the right to access, rectify, erase, restrict, object to, and port your data. To exercise these rights, contact us at [email protected]; we respond within one month at the latest. You may also lodge a complaint with Luxembourg’s data protection authority, the CNPD (Commission nationale pour la protection des données).

Minors

Ringminder is not intended for people under 16 years old.

Changes

We may update this policy, in particular to reflect changes to the service or to the law. The last update date appears at the top of this page.
